1. Scope and Definitions
Controller – ALINE PRO Sp. z o.o. with its registered office in Wrocław (ul. Nyska 59/2, 50-505 Wrocław), entered into the National Court Register (KRS) under number 0001174181, VAT ID PL8993025729, e-mail: info@alinepro.pl.
Service – the website available at https://www.alinepro.pl.
User – any natural person using the Service.
Personal Data – any information relating to an identified or identifiable natural person, in particular name and surname, e-mail address, phone number, 3D scan files, date of the scan, and comments submitted by the User.
Processing – any operation or set of operations which is performed on personal data (collection, recording, storage, alteration, disclosure, erasure, etc.).
Processor – an entity to which the Controller entrusts the processing of personal data on its behalf (e.g., hosting provider, e-mail operator, notification service provider).

3. Purposes and Legal Bases for Processing
Purposes of processing personal data
- Handling form submissions – to contact the User back and provide the service for the User's needs.
- Administration and storage of submitted 3D scan files.
- Providing technical support and customer service.
- Website traffic analysis and statistics (after giving separate consent for analytical cookies).
Legal bases for processing personal data
- Art. 6(1)(b) GDPR ("processing is necessary for the performance of a contract or in order to take steps at the request of the data subject prior to entering into a contract") – for handling submissions and contacting the User.
- Art. 6(1)(f) GDPR ("legitimate interest of the controller") – for administering and archiving submitted 3D scan files, ensuring the security of the Service.
- Art. 6(1)(a) GDPR ("consent of the data subject") – for collecting data for analytical purposes (Google Analytics) and other purposes necessary for the Service's operation, where a separate declaration of consent is required (cookies, newsletter, etc.).
- Art. 6(1)(c) GDPR ("legal obligation") – for storing any documents or logs required by law.
4. Sharing of Personal Data
User's data may be transferred to the following recipients:
1. Subcontractors and processors
– Hosting and IT infrastructure service providers (e.g., Bubble)
– CDN and WAF platforms (e.g., Cloudflare)
– E-mailing service providers (e.g., Mailgun, SendGrid)
– Analytical services (Google Analytics, after consenting to analytical cookies)
– Advertising platforms (Google Ads, Meta Ads Manager, after consenting to advertising cookies)
– Backup and archiving providers (e.g., Amazon S3, Google Cloud Storage)
2. Internal employees and associates
– Individuals within ALINE PRO Sp. z o.o. responsible for customer service, data administration, and traffic analysis
3. Public authorities and authorized entities
– At the request of law enforcement, courts, or other state authorities, only to the extent required by law
4. Other entities
– In the event of a merger, acquisition, or sale of part or all of the Service – the data will become part of the transferred assets
In all the above cases, we ensure that:
– Data is shared only to the extent necessary to achieve a specific purpose.
– Recipients process the data in accordance with the GDPR and on the basis of a data processing agreement.
1. Data from the form
– We store it until deletion is requested by the User or for a maximum of 2 years from the submission date.
2. Technical data (logs)
– IP addresses, browser headers, and other system data are archived for up to 6 months.
3. Cookies
– Essential cookies (session) are deleted after closing the browser.
– Analytical cookies are stored for up to 13 months (according to Google Analytics settings).
– Advertising cookies (e.g., Google Ads) — up to 180 days or according to the individual settings of the processor.
4. Legal documents and archives
– In case the retention period expires or the data is deleted by the User, some information may continue to be stored solely in an anonymized form or for archival/reporting purposes if such an obligation arises from legal regulations (e.g., accounting-tax laws).
All retention periods are monitored and automatically enforced in our systems.
6. Cookies and Tracking Technologies
To ensure the proper functioning of the Service, improve user experience, and analyze traffic, we use cookies and similar tracking technologies. Below are descriptions of each category:
1. Essential (technical) cookies
– Necessary for the basic functionality of the Service (sessions, navigation, security).
– They are always active and cannot be disabled.
2. Analytical cookies

You have the right to receive the data you provided to us in a structured, commonly used format and—where technically feasible—to have it transmitted to another controller.
- Right to withdraw consent
Where processing is based on consent, you can withdraw it at any time. The withdrawal of consent does not affect the lawfulness of processing based on consent before its withdrawal.
- Right to object
You can object to the processing of data based on the legitimate interest of the controller or for marketing purposes.
- Right to lodge a complaint
You have the right to lodge a complaint with the President of the Personal Data Protection Office (UODO) if you believe that the processing violates the GDPR.

8. Data Security
We ensure an appropriate level of protection for your personal data by applying technical and organizational security measures, including:
– Encrypting transmissions (HTTPS/TLS) when submitting forms and 3D scan files.
– Guaranteed access to systems only for authorized employees of ALINE PRO Sp. z o.o. using unique logins and passwords.
– Regularly creating backups and scanning the environment for vulnerabilities.
– Physical protection of servers and cloud providers (i.e., ISO/IEC 27001 requirements or equivalent).
Aline Pro Sp. z o.o. monitors security incidents and immediately takes corrective action in the event a breach is detected.
When using certain processors (e.g., hosting services, cloud services, analytical platforms), data may be stored or processed outside the EEA. We guarantee that:
– Any data transfer is based on an European Commission adequacy decision (so-called Standard Contractual Clauses) or on other permissible transfer mechanisms compliant with the GDPR.
– We have data processing agreements in place with our processors from outside the EEA, which ensure an adequate level of protection.
